Personal data we process

Munisense processes your personal data because you use our services and/or because you provide it to us yourself. Below you will find an overview of the personal data we process:

  • First and last name
  • Salutation
  • Company name
  • Position
  • Address details
  • Telephone number
  • Email address
  • IP address
  • Account name
  • Internet browser and device type
  • Information about your activities on our website and the INSIGHTNOW™ platform
  • Other personal data that you actively provide to supplement your account, such as time zone and language

We also process data that is not strictly personal data but is part of a business relationship, such as:

  • Account details (IBAN, SWIFT)
  • Chamber of Commerce number
  • VAT number
  • Payment history
  • Creditworthiness

If you, as a private individual, purchase a product or place an order with us, we may also record some of this data, which could be considered personal data.

Special and/or sensitive personal data that we process

We do not store any special personal data (for example, race, religion, sexual orientation, etc., as defined in the GDPR) in our systems.

Our website and/or service does not intend to collect data about users under the age of 16, unless they have permission from a parent or guardian. However, we cannot verify whether a user is older than 16. We therefore encourage parents to be involved in their children's online activities to prevent data about children being collected without parental consent. If you believe that we have collected personal data about a minor without this consent, please contact us at privacy@munisense.com, and we will delete this information.

For what purpose and on what basis do we process personal data?

We process your personal data if you voluntarily provide it to us (such as subscribing to an email newsletter or giving your business card to one of our salespeople), or if you have entered into an agreement with us, for example, when purchasing a product.

Munisense processes your personal data for the following purposes:

  • Access and use of the INSIGHTNOW™ platform
  • Processing your payment
  • Delivering goods and services to you
  • Sending our newsletter and/or marketing mailings
  • Informing you about changes to our services and products
  • Calling or emailing you if necessary to provide our services
  • Supporting you in using the product by recording your actions (logging).
  • Munisense also processes personal data if we are legally obligated to do so, such as data we need for our financial administration.

Munisense analyzes your behavior on the website and the INSIGHTNOW™ product to improve the product and its range of products and services. We obtain this data from the same (log) files we use to support you. We will anonymize the data in such investigations.

Automated decision-making

Munisense does not make decisions based on automated processing on matters that could have (significant) consequences for individuals. These are decisions made by computer programs or systems, without human intervention (for example, a Munisense employee).

An example of automated processing is a credit application that can be approved or rejected by an automated system. At Munisense, we do not use systems that do this without human intervention.

How long we retain personal data

Munisense does not retain your personal data longer than is strictly necessary to achieve the purposes for which your data is collected. If you are a customer (have an agreement with Munisense for a fixed or indefinite period), we retain all data. After this period, we retain your data for a further 36 months with the aim of making it available again if you later decide to enter into a new agreement with us. 

Sharing personal data with third parties

Munisense shares your personal data with various third parties if this is necessary for the performance of the agreement and to comply with any legal obligations. We enter into a data processing agreement with companies that process your data on our behalf to ensure the same level of security and confidentiality of your data. Munisense remains responsible for these processing operations.

Your data will not be shared with third parties if this is not related to Munisense's business operations.

Your data will be shared with the following parties:

  • Zendesk
    After you contact our helpdesk, your name and email address will be stored by Zendesk. This company helps us process support requests. You can access the data in Zendesk (via the email you received after your initial contact).
     
  • Atlassian
    We use Atlassian products to maintain our documents and work. Your personal data may be referenced in these documents for a specific project. In that case, we don't store it in specific fields, but in a document or list specifically formatted for the project's purpose.
     
  • Newbase
    Within Newbase, we store all our customer and invoice data. Much of the data in this system is business-related, but it also includes personal data of company employees and information about private individuals who purchase products from us.
     
  • Mailchimp
    We use Mailchimp for email newsletters and promotional offers. Personal data such as name, email address, salutation, and language preferences are stored here to send personalized mailings. You can unsubscribe from these mailings at any time via a link at the bottom of every email you receive from us.

Personal data you store in our systems

If you purchase a product from us, you may enter personal data of third parties in our system. You are responsible for this personal data. Munisense will store this data securely, just like your own personal data, and will not share it with other parties.

Examples of personal data you may store in our system include:

  • First and last name
  • Username
  • Email address
  • Phone number
  • Address
  • Other personal data you actively provide to complete your account, such as time zone and language

In our product, you can also enter personal data in so-called "free fields," fields that do not specifically describe the information you enter.

As a purchaser of our product, you may never store special personal data, or data of persons under the age of 16, in our system without the explicit consent of a parent or guardian. You are responsible for maintaining a record of whether you have permission to use this personal data.

If Munisense receives a request for access, modification, addition, deletion, or exchange of personal data from a person you have entered into our system, we will forward this request to you. In almost all cases, you can fulfill the request yourself within our system. If this is not possible, please contact support@munisense.com.

If a data breach occurs, we will inform you immediately. We will describe as clearly as possible the scope of the data breach, how it occurred, and what we are doing about it. As the processor of personal data you own (controller), we will never inform the individuals involved or report them to the Dutch Data Protection Authority. An exception to this may be if you fail to fulfill your responsibility and the interests of the data subjects provide sufficient grounds for doing so. 

Cookies, or similar technologies, that we use

Munisense uses functional, analytical, and tracking cookies. A cookie is a small text file that is stored in the browser of your computer, tablet, or smartphone when you first visit this website. Munisense uses cookies with purely technical functionality. These ensure that the website works properly, can be optimized, and that, for example, your preferences are remembered.

In addition, we place cookies that track your use of our sites or services so that we can improve our products and information. On your first visit to our website, we informed you about these cookies and asked for your consent to place them. You can opt out of cookies by configuring your internet browser to no longer store them. You can also delete all previously stored information through your browser settings. 

This website also places cookies from third parties. Companies that help us determine whether you visited our website after a marketing campaign to find more information about our products.

Access, modify, or delete data

You have the right to access, correct, or delete your personal data. You also have the right to withdraw your consent to the data processing or to object to the processing of your personal data by Munisense, and you have the right to data portability. This means that you can submit a request to us to send the personal data we hold about you in a computer file to you or another organization you specify.

It is important to note that data portability only applies to your personal data and not to measurement data from the INSIGHTNOW™ platform. Based on the product you purchased, you may have access to a system for exporting measurement data.

You can send a request for access, correction, deletion, data portability of your personal data, or a request to withdraw your consent or object to the processing of your personal data to privacy@munisense.com. To verify that the request for access has been made by you, we ask that you include a copy of your ID with the request. We will respond to your request as quickly as possible, but within four weeks. When making a copy of your ID, it is best to adhere to the following government guidelines:

How we protect personal data

Munisense takes the protection of your data seriously and implements appropriate measures to prevent misuse, loss, unauthorized access, unwanted disclosure, and unauthorized modification. If you believe your data is not properly secured or if there are indications of misuse, please contact our customer service or email us at privacy@munisense.com.

Munisense has taken at least the following measures to protect your personal data:

  • Your data is stored in a secure data center.
  • All connections to our system use a protocol that encrypts the connection and makes it invisible to third parties. You can recognize this by the letters 'https' at the beginning of the web address and the padlock icon in your browser's address bar.
  • Our network infrastructure, servers, and workstations are equipped with anti-virus software and firewalls to protect them from external attacks.
  • Your data can only be accessed by authorized employees who need it to perform their duties.
